How to Use Zoom's Whiteboard Feature

The Whiteboard feature of Zoom supports virtual visual collaboration. Whether hosting a meeting or planning session, delivering a presentation, leading a workshop, or teaching a class, you can learn how to use Zoom Whiteboards and Custom Virtual Office backgrounds.


What Is Zoom Whiteboard?


The Whiteboard feature of Zoom is a virtual collaborative space for displaying freehand sketches, diagrams, and shared files. All Zoom users have access to Whiteboard Basic, which includes unlimited canvas with up to 12 pages per Whiteboard, up to three concurrent editable boards, and 25 MB of cloud storage.


Users who upgrade to the paid version of Whiteboard and subscribers to Zoom One Business, Zoom One Business Plus, and Zoom One Enterprise subscribers gain access to an activity log, version history, personal labels, shared folders, and 1 GB of cloud storage.

Whiteboard Plus is the top tier of this service and is included in Zoom One Enterprise Plus and Zoom Rooms subscriptions. Users with Whiteboard Plus can use custom and organizational templates, third-party integrations, and unlimited cloud storage.

Whiteboard Features


The core features of Whiteboard include unlimited canvas with a wide variety of input options. Users can draw, annotate or add graphical elements such as diagramming tools, lines and shapes, and sticky notes. Every version of Whiteboard also supports adding images, rich text, URLs, and embedded PDFs.


The Whiteboard has presentation features that include frames, a presentation mode, and a timer. Users who create Whiteboards can access permission management tools in Collaborating and Presenting modes.


Creators and users granted permission to access the board after a meeting can access Whiteboards anytime. You can also export Whiteboard content as high-resolution images or in CSV or PDF formats.

Drawing On Zoom Whiteboard


The Whiteboard supports intuitive input, such as drawing with a pen or annotating content with a highlighter. This feature also provides drawing tools and supports cards, mind maps, Kanbans, tables, and other visual methods for organizing ideas.


Up to 100 users can draw, write, and contribute content to a Whiteboard. Accessing a Whiteboard on Zoom or exporting these documents makes retaining graphical content and text possible.


The Whiteboard supports a wide range of input. The availability of this feature to all Zoom users can allow for more flowing collaboration between co-workers in the same location and remote participants.


Collaborative Whiteboards


The Whiteboard has extensive support for collaboration. Whiteboard creators and authorized users can make comments, mentions, notes, and reactions and receive notifications.


Anyone with a Zoom account can access and use a Whiteboard on a supported device in accordance with permissions settings. Participants not signed in to Zoom can view a Whiteboard during a meeting as anonymous guest users but will need to sign in to access the Whiteboard after the meeting ends.


The Whiteboard feature of Zoom is designed to support Zoom Rooms and virtual conference rooms. This feature also showcases Zoom Rooms for Touch hardware. You can also use whiteboards alongside Virtual Office backgrounds.

Screen Sharing To Co-workers


It is easy to use screen sharing to display a Zoom Whiteboard in a meeting or webinar. Click on the Whiteboards button in the Meeting Controls toolbar to select a new or existing Whiteboard. A pop-up window will allow opening a Whiteboard in Collaborating or Presenting mode.


In Collaborating mode, other users have edit access to a Whiteboard. In Presenting mode, additional users are only granted view access. Select Share at the top right to include additional collaborators outside the meeting.


Anyone with a Zoom account can view Whiteboards. Use Whiteboards and Custom virtual office backgrounds to make Zoom meetings more professional and productive.
